Gillett Publishing’s GEMS Tutorial

If you are a subscriber to the Gillett Estate Management Suite (GEMS) GEM706 or GEMAcct programs, the EstateVal/GEMS interface can eliminate manual entry of data between the packages.

EstateVal to GEMS

To export an EstateVal portfolio’s pricing data to GEMS, first you’ll need to configure the export file format. Select Tools → Options… → Export, and set Type to “GEMS”, Path to the folder you want the data file sent to, and Schedule to the Form 706 schedule you want the data exported to in GEMS: “B”, “E1”, “E2”, “F”, “G”, “H” or “I”.

Now that EstateVal is configured, enter and evaluate the portfolio as usual and select File → Export → From EstateVal → [Report Type]…. to export the data. You will be prompted to enter an export file name and click OK—remember, GEMS requires that you keep it simple: no special characters such as quotes, commas, or less-then or greater-than signs, etc. EstateVal will then show “The portfolio has been exported.”

Now that the data has been exported from EstateVal, you can import it into either GEM706 or GEMAcct. To do so, open the appropriate GEMS program, and then open the relevant client file. Select Utilities → EVP Pricing Interface. Click Import existing EVP portfolio, select Date of Death or Alternate Date, depending on what type of report you exported, enter the file you exported from EstateVal, and then click Transfer. The securities and their values will be displayed. You can select your File Import Options, and select or deselect individual items on the results page. To post the values, you’ll need to click Transfer again.

GEMS to EstateVal

GEM706

  • Open GEMS 706 – Federal Estate Tax Returns
  • Create a client and enter the stocks and bonds on the appropriate schedules as CUSIP numbers or ticker symbols; you should also enter a temporary description
  • When you are ready to send the securities for pricing, select Utilities → EVP Pricing Interface, then select Date of Death or Alternate Value—if you are doing the Alternate Value, you should download the Date of Death first
  • Next, click Transfer and the program will automatically look for the EstateVal executable in its default directory (c:\Program Files (x86)\EVP Systems\)—in cases where EstateVal has been installed in a different location, you will have to open the GEMS.INI file, located in the installation directory for GEMS, and edit the path under the [EVP] header
  • Once EstateVal is found, the securities are sent for valuation, and when that process completes, GEM706 displays the results
  • You can now select your File Import Options and select or deselect items on the results page; to post the values into GEM706, click Transfer again

GEMAcct

  • Open GEMS Acct – Fiduciary Accountings
  • Create a client and enter the stocks and bonds in the inventory; you must also enter their CUSIP numbers or ticker symbols
  • When you are ready to send the securities for pricing, select Utilities → EVP Pricing Interface. (Make sure to refer to the GEMAcct Manual for details on what to do with your account before sending it for valuation.) You will now be asked to select Acquisition, Alternate Value or Fair Market Value. If you elect to perform a fair market valuation, you must also enter the date of the valuation.
  • Next, click Transfer and the program will automatically look for the EstateVal executable in its default directory (c:\Program Files (x86)\EVP Systems\)—in cases where EstateVal has been installed in a different location, you will have to open the GEMS.INI file, located in the installation directory for GEMS, and edit the path under the [EVP] header
  • Once EstateVal is found, the securities are sent for valuation, and when that process completes, GEMAcct displays the results
  • You can now select your File Import Options and select or deselect items on the results page; to post the values into GEMAcct, click Transfer again

Within GEMS

You can also price securities entirely within GEMS, by configuring it to use EVP Everywhere.
